By recognizing industry standard barcodes the Executive Assistant Premium product divides large batches of documents into separate files, names the files by the barcode characters, or files the documents by associating the barcodes with data that has been imported into the Executive Assistant database.

Compliance, Document Integrity, and System Audits

 Many public regulations and private business practices are concerned with maintaining the integrity of documents stored in the document management system, also known as an optical imaging system (OSS). These regulations and practices share a common thread, including preservation of records in a (WORM) non re-writeable, non-erasable format, procedures to verify the quality and accuracy of the optical storage recoding process, providing regularly scheduled backup (on separate optical storage disks) all information originally preserved and maintained in the optical storage system, and maintaining an audit system to identify the individuals that have accessed the documents.  Executive Assistant v. 5.02 includes features that provide the user with the capability to address these needs.

Compliance and maintaining document integrity:

WORM File Cabinets can be set up so that the documents filed within them are uneditable and unexpungeable and cannot be over written.

 Backup File cabinets To WORM:

EA now includes file back up to Write Once Read Many media and devices such as CD, DVD, or WORM hard drive. By transferring documents to CD or DVD using these utilities they may not be altered or deleted from the system.  An audit report keeps track of which files, associated data, and media the files are stored on as well as when the transfer was done.

A backup warning message reminds the users of the need to periodically create backups according to mandated or organizational records management practices.

A daily backup file of the database and images is created which may be utilized for off-site backup or maintenance of a duplicate OSS by a third party service (such as Iron Mountain).

Audit reports:

There are reports available which list:

  • Any files referenced in the database but are not accessible;
  • Documents that have been modified during the year;
  • Which documents have been viewed within Executive Assistant during auditing;
  • Files relocated to an external device verifying that the files were accurately copied.

VIEW:

 Besides supporting image files created and stored in Executive Assistant you can view snapshots of different electronic file types. These may include Word®, Excel® and Power Point® documents if Microsoft Office® is installed on your machine.

The Folder tree has a built-in index by the City or State when the
address feature is used. The address of the folder can be viewed in the Folder tree as well as the Document Description.

Searches can be limited by Document Dates or Dates that the document was filed.

Adobe version 7x pdfs can be viewed from within Executive Assistant.

A search summary can be viewed while a document is being viewed from the list of files returned from the search. The search summary contains information about how the search was conducted.

FILE:
Folder names can automatically be created from the file name of a document during the filing process.

Document descriptions can automatically be created from the file name. 

Financial Advisor Indices can be added -- these indices are stored in an editable file that can be modified within notepad and applied to other file cabinets. 

SCAN:
Pages can be inserted BEFORE the first page of the current document by having the curser on the left.

CTRL-Left or Right arrows can be used to maximize or minimize the current document view.

Junxure-i Integration
This feature adds a great deal of value for Junxure-I users. With this feature activated there is an interactive connection between Junxure-I and Executive Assistant so that when client records are open in Junxure the corresponding folder containing the client documents is open in Executive Assistant.
