RESTORE function

The RESTORE function provides enhanced ease of use for restoring files from  the Executive Assistant backup utilities

LIST BOX 

When scanning multiple files in a batch, or opening up multiple files in the scanning program, a list box Queue is created which allows the user to open the files in the batch for filtering, naming, or indexing.

Document Integrity, and System Audits

 Many public regulations and private business practices are concerned with maintaining the integrity of documents stored in the document management system, also known as an optical imaging system (OSS). These regulations and practices share a common thread, including preservation of records in a non re-writeable, non-erasable format, procedures to verify the quality and accuracy of the optical storage recoding process, providing regularly scheduled backup (on separate optical storage disks) all information originally preserved and maintained in the optical storage system, and maintaining an audit system to identify the individuals that have accessed the documents.  Executive Assistant v. 3.10 includes features that provide the user with the capability to address these needs.

Maintaining document integrity:

- documents filed in the system can be set to Read Only, so that the ability to revise and delete documents even while stored on the hard drive can be restricted

- various degrees of index protection provide a mechanism to maintain document retrieval through indexing.

 Backup File cabinets To WORM:

-         systematic file back up to Write Once Read Many media and devices such as CD, DVD, or WORM hard drive. By transferring documents to CD or DVD using these utilities they may not be altered or deleted from the system.  An audit report keeps track of which files, associated data, and media the files are stored on as well as when the transfer was done.

-         A reminder can be set that reminds the user each week to create backup of the system

Audit reports:

There are reports available which list:

  • Any files referenced in the database but are not accessible;
  • Documents that have been modified during the year;
  • What documents have been viewed within Executive Assistant during auditing;
  • Files relocated to an external device verifying that the files were accurately copied.

 Electronic File Viewing:

 Besides supporting image files created and stored in Executive Assistant, allows you to view snapshots of different electronic file types. These may include Word, Excel and Power Point documents if Microsoft Office is installed on your machine.

Scan Module

Executive Assistant® SCAN MODULE...

enables scanning, image cleanup (post scan), and simple file naming with an option for auto-incrementing the files.

The powerful image clean-up program includes de-skew, rotate, remove background, remove lines, erase region, and other post scan image enhancement features. The scanned images can either be mapped to the drive of the local computer or mapped to a network drive.

The EA SCAN MODULE works with hundreds of different scanners including color and B&W, simplex, and duplex, and allows you to scan to universal formats including TIFF, JPG, or PDF.

View

Executive Assistant® VIEWING...

conducts searches on the indexed documents and has zoom, rotate, print, fax, and e-mail attachment functions. Multiple pages of a file can be viewed simultaneously for a quick visual reference before expanding to a full size view.

EA provides the capability to file and view your business documents including .jpg, .pdf, or .tiff compressed or uncompressed, as well as electronic documents such as Microsoft WordTM or ExcelTM files (you must have Word and Excel installed on the workstation for this to be possible).

A function to output an HTML “table of contents” facilitates creation of website based document viewing for logical groupings of documents. This function may be particularly useful for documents that have “public” viewing privileges including assessments, surveys, applications, manuals, meeting records, reports, and registrations.

File

Executive Assistant® FILING…

has virtually unlimited capabilities to organize documents for multiple companies and departments, with unique primary and cross-indexing schemes.

EA provides the capability ot file and view your business documents including .jpg, .pdf, or .tiff compressed or uncompressed, as well as electronic documents such as Microsoft WordTM or ExcelTM files (you must have Word and Excel installed on the workstation for this to be possible).

Documents may be stored on multiple “volumes” including hard drives, and spanned CD libraries. Non-image files such as word processed documents may be imported, managed and viewed by EA.  File and view your documents using a "Tree" structure similar to what you see with Windows Explorer TM.

Trees have Document in their menus. Document now displays all information about a document.  This includes the Description and File Cabinet in the Caption, a grid for Dates, a grid for Folder information and a grid for Document indices.

The File Date on the Document grids can be expanded to show the time in File and View Documents.

When Edit Which Folder a Document is filed in, the Indices of the Folders is displayed to help the user discern Folders with duplicate names.

If Documents are already filed they become Read Only unless "File Documents as Read Only" is Off in Utility. If this feature is Off, Filed Documents are copied to backup when they are first opened in case pages or the whole document is lost when modifying a Filed Document.

Document Snapshot in menu of File Documents to display the first page of Adobe 7 and other non image files. There is no dropdown menu on the image in File Documents because if the user opens the file, he cannot file the document due to Access Permission errors.

If Files in Queue has the focus, you can type the first few letters of the file name and click Enter to show the file rather than using the mouse.

You can now "Remove Some Document Description Suggestions" from the Options menu in File Documents.
